NJYS ROSTERING INSTRUCTIONS THROUGH GOT SOCCER-NEW JERSEY TEAMS ONLY
Procedures for 2012-2013 - please read the instructions carefully
There seems to be confusion for teams in the last leg of the rostering process. Either teams correctly register, but forget the most important step: instruct the club to register with our league, or teams believe the registration they did for our league Fall 2012, is the NJYS rostering (WRONG).
So, let’s clear this up:
Teams registered CJYSA/MAPS Fall 2012 Registration & USCL/MAPS Fall 2012 Registration – paid their fees for LEAGUE PLAY ONLY. The fall 2012 registration is now closed and from where we build schedules. This registration did NOT register your roster with NJYS.
We sent out player passes to registered teams. Now, to get your roster affiliated with NJYS, teams must register for a NEW GOT SOCCER EVENT!! The name of the event makes it all the more confusing, but it IS THE NJYS ROSTERING LINK which must be approved by our league (the league approves so NJYS knows the team is actually registered with the league and has paid their fees).
FOLLOWING THE STEPS IS VERY IMPORTANT TO AVOID ERRORS! NJYS WILL NOT FORCE CORRECTIONS IN THE SYSTEM, SO FOLLOW INSTRUCTIONS.
First Step: CLUB AFFILIATION WITH CJYSA under the NJYS rostering
When teams registered with our league, we required that they be attached to a club to save a 3rd step in the rostering process. Most teams did this, and correctly; but a few teams, in a hurry to register for the league, attached themselves to the wrong club. Those teams need to contact Got Soccer directly to remove the incorrect club listing.
Next Step: EVERY TEAM MUST: (CLUB REGISTRARS TAKE NOTE!!!)
First confirm with your club registrar that:
1. Your team is attached to the NJYS issued Got Soccer Club account (if not, provide the registrar with your Got Soccer user ID and pin for attaching)
NOTE FROM KEN SCHINKEL, NJYS STATE REGISTRAR: Please remind your clubs they should apply as a club to all the leagues they are entering, this helps speed up the process. The clubs and teams that entered before today (8/7/12) seem to have forgotten to apply to the leagues.
Issues such as, the team that isn't associated to a club, is easily spotted by the players having correct numbers and the coaches having none. Coach numbers are generated from clubs and not team rosters is why they won't show if the team is not part of a club, The team will have to import to the club and reapply to the league. This will generate new pass numbers so if caught early passes may not have been printed. NJYS is not going to force coaches on to rosters this year so please help your clubs and teams understand the order that the process should take is teams to clubs, clubs to leagues, not teams to the league.
THIRD STEP: Once club registration is complete, the team will click the following link to go to the NJYS ROSTERING LINK:
1. Log into your Got Soccer team account
2. Input your Got soccer user ID and pin again as a returning team
3. All your team info carries over-you click "continue" 4-5 times through the windows and click "submit" on the last page and you have finish the application.
4. I approve the application once it appears on my side-then you can print your passes and roster.
Now be sure to go into coaches first – on the gray line – and either:
1.Generate an ID for a volunteer coach, or
2.Search for available coaches for a non-volunteer coach
Then go back to your home page, and under Event Applications: Accepted
1.Find the Central Jersey Youth Soccer Registration NJYS 2012/2013
2.Click on “Roster” in the box of this event
3.Your roster page appears
4.Check that each coach has a pass number listed next to their name
5.Check that all players are properly listed and their birth dates are correctly noted
UPLOAD PLAYER PICTURES!
6.Click on “Freeze Roster” button
7.Below the Secondary Player button, a PDF icon will now appear that will say NJ Standard Roster next to it
8.This is your official roster that should be opened, printed at least 4 times and saved to your desktop. This goes to your DC for validation
9.Read the Instructions (marked in red below the coaches) “Important: Pre-printed card stock alignment – Click here to see how
10. Make the appropriate setting changes to your printer (NOTE: MAC users to date are not successful in setting the needed changes-use a PC)
11. Next to your roster icon, you will have the pages for printing the passes – now you can finish by printing your player passes
12. Once passes are printed, affix the player pictures and have the players sign their passes. Remember, players MUST SIGN THE PASS exactly as it reads on the front of the pass. NO LONGER REQUIRED AS OF 2012-2013
13. Take membership forms, medical releases, birth certificates, roster, and passes to your District Commissioner for validation
IF YOUR TEAM IS PRIMARY IN ANOTHER LEAGUE, you will register your NJYS roster with that league. DO NOT REGISTER WITH CJYSA AS WELL! You register only once in the NJYS system. Once your roster is validated by the DC, send a copy of the roster to Jan Yager: jan@mssl.org or 1-888-520-5663 (fax)
Please note: if you have out of state players on your roster, you must:
·Have them obtain a validated player pass from their state USYSA organization along with a permission to play on an out of state team
·In put that player pass number on Got Soccer and show the player’s state. They do NOT receive a NJYS pass number
·Bring that pass, along with all the other completed forms-out of state permission, NJYS membership form, birth certificate, medical release – to the DC with your other players information
·Hold that player pass with your other player passes as the valid player pass
There are changes again this year as NJYS continues to improve the online rostering process.
Teams should upload players pictures into the system and the pictures will print on the player passes (follow the instructions).
Player and coach signatures are NO LONGER REQUIRED on the PASSES.
Once the passes are printed, the team registrar will take the completed packet (passes, membership forms, medical releases, birth certificates) to the District Commissioner for validation.
Teams will not be permitted to play league games until the team’s roster is approved and passes issued.
Since our league is using the Got Soccer System for league registration and scheduling, your roster will appear on the league site as well once you have followed the steps above.
