NJYS PASS & ROSTERING PROCEDURES for 2011-2012 - NJ TEAMS

NJYS has moved to an online electronic rostering system that requires teams to register through GOT SOCCER accounts with their respective leagues and be recognized as registered with the league and approved for NJYS rostering. Got Soccer is used by NJYS for NJYS rostering ONLY and requires leagues to affirm teams are registered through their league for a team to continue with NJYS rostering (NJYS requires all NJ teams to play in a NJ league in order to have a NJYS roster)

GOT SOCCER is NOT our league registration site!  CJYSA/MSSL/MAPS uses Demosphere for our league site and all components of the league end-registering the team to play; scheduling; game reports. This Got Soccer rostering/registration procedure is to follow AFTER the team registers for the league season with the league (www.cjysa.org) and league fees are paid (including NJYS team roster fees).

Teams register for the NJYS league event through their GOT SOCCER team accounts, that are attached to NJYS created club accounts. Once registered on our league site, you should contact your own club registrar and find out about the NJYS CLUB ACCOUNT under Got Soccer. Your registrar will then ask you for your user ID and PIN for your GOT SOCCER TEAM ACCOUNT (assuming you have one-if not, we cover that second) and he/she will attach your TEAM account to the NJYS Club account. THEN you are ready to apply, under your TEAM GOT SOCCER ACCOUNT, for our league event under Got Soccer. Search events – and put in Central Jersey Youth Soccer Registration 2011/2012 – click on the event when it appears in the box below. Then on the Welcome page, you will “APPLY NOW”. You won’t need to fill out all the pages they give you—just “continue” through under you get the screen that says you have successfully applied.

NJYS requires each team MUST be registered to a league in order to receive a NJYS roster and print passes. So, the league must indicate that you have indeed registered with our league for league play – which is done by approving your application under Got Soccer.

If you do NOT have a GOT SOCCER team account, then with your club registrar, he/she can enter the team name and the manager and the coach from the club side and give you a user ID and PIN for your new team account. You want the club registrar to initiate the new team account, because they will do so under the club account, thereby attaching your team to the club account. Then follow the instructions above for registering for the league event under Got Soccer.

The Club must also affiliate with the league (or leagues) so the team is shown as affiliated to the club for league approval in NJYS roster process. The club registrar should follow these instructions for affiliating with the league:
Log into the Club account
Click on the “HOME” tab
Click “EVENTS” in the blue bar
Click “SEARCH” in Gray bar
Under Find event – use drop down and enter league under event type and type in (for our league) Central Jersey Youth Soccer Registration 2011/2012 under Event Name and click “OK”
Event appears and click on League Event Name
Click “apply now” and Register your club – by clicking the icon Join League
Then your team is assigned to your club so we can quickly process your Got Soccer application for NJYS passes after the TEAM applies to the league event. Follow instructions below to apply.

Once a team applies to the league event under GOT SOCCER, the league will approve the team as a registered member (meaning you have been approved and are paid). Once approved, the team may now complete their NJYS team roster and get assigned pass numbers; print your passes through the Got Soccer system, and put on each player’s picture to their pass and have the players sign their player pass. Then, deliver the printed roster, passes, birth certificates, medical releases and membership forms to your district commissioner to approve and validate your passes.

The only process that has changed is the electronic rostering and printing of the passes – the rest of the validation process is the same as in past years. More information on the GOT SOCCER ROSTERING PROCESS may be found at the NJ Youth Soccer Website: http://www.njyouthsoccer.com/regforms/Clubs%20Registering%20with%20League.pdf

Teams will not be permitted to play league games until the team’s roster is approved and passes issued.

Please note, the GOT SOCCER roster and our CJYSA (Demosphere hosted) site are NOT connected!! You will still need to enter your roster and pass numbers (for NJYS and USCLUB) under your CJYSA league team page for game cards.

Out of state teams will also use the electronic system for completing their rosters, but just enter their current state association pass numbers into the system. Please refer to our separate page for Out of State Teams and rostering. Those teams will send their completed rosters to Lindsay Nappi at the NJYS office of the roster, and she will validate the roster.

There is no way to link the team account under Got Soccer to our Demosphere site and we never indicated that is what you do. Got Soccer and Demosphere are competitors-just like NJYS and US CLUB are competitors.

Registering your roster through the league on GOT SOCCER to print roster & passes
NJYS has instituted “The Quiet Period” which is a period of time when there should little or no activity on the GotSoccer system. During the period, the system will be updated for the 2011-2012 seasonal year.

When is QUIET PERIOD: August 1 - August 5

What Happens during the Quiet Period
·
Every Player’s U-Age will be incremented. That is, U12 players in the 2010-2011 seasonal year will become U13 players for the 2011-2012 year.
· All 2010-2011 NJYS Rosters will be stored for NJYS and removed from the team accounts.
· All team numbers will be erased, team number methodology updated. Team numbers will begin as NJ12 for the upcoming year.
· All player numbers will be erased on the Player List, player number methodology will be updated
All 2010-2011 NJYS registration events will be closed
2011-2012 registration events will be created by NJYS after the end of the quiet period.
Non-volunteer registration program for 2011-2012 will be activated

What Teams/Clubs can and can’t do during Quiet Period

· Teams/Clubs can update/change Player List by adding or deleting players. However, teams need to make sure the correct U-age of the player is entered.
· Clubs should not enter new teams during the Quiet Period. Enter new teams either before the Quiet Period or after.
· Teams cannot enter a registration event
· Teams cannot freeze player list, create roster or print player passes

What happens after the Quiet Period

· Teams/Clubs will be able to continue to update/change Player List by adding or deleting players.
· Teams will be able to enter a league registration event and be accepted into that event, a necessary step to be able to print rosters and player passes.
· A team should verify that its player list is complete and accurate before trying to freeze its roster. A team should not use the add player button before the roster has been frozen as this will immediately freeze your roster.

NJYS will conduct training sessions as the leagues request them. The material from the training sessions will also be available on the NJYS website: www.njyouthsoccer.com

NJYS District Commissioners will not validate 2011-2012 rosters and player passes until after the Quiet Period-August 5th.

If you have paid your NJYS team roster fee when you registered your team, you have received the NJYS passes. Instructions for rostering your team may be found on the NJYS website: www.njyouthsoccer.com under GOT SOCCER Information.

You will have 18 (for U11-U16 teams), or 22 passes (for U17-U19), plus 2 passes for coaches. If you need additional passes, please let me know by email – jan@mssl.org . Always be sure to include your club/team name along with your age group. If you also include your mailing address, that just saves one more step.

All membership forms, medical release forms or volunteer coach forms can be found at www.njyouthsoccer.com , as well as transfer and release forms. Non Volunteer coaches must apply directly to NJYS for their passes and provide proof of insurance.

Those teams who wish to register for the NJYS National State Cup or the NJYS President’s Cup will register electronically. Instructions will be found atwww.njyouthsoccer.com .
